2016-09-20 TRC Business Meeting Minutes 


Called to order at: 7:45 pm. 

Members present: Darin McGrew, Michelle McGrew, Dean Stanton, Ed Slintak, Heather Mellows. 

Agenda for current meeting:    Approved as amended.

Minutes from previous meeting: Approved.  


OFFICERS' REPORTS

* President:
- No report. 

* Vice President:
- Moving; not running for re-election. 

* Secretary:
- Sent reminders to the Board, Cris, Nick, Ric, Mel, and John K.

* Treasurer:
- No report as there was no September rallye. 


COMMITTEE REPORTS

* Insurance:
- Insurance certificate for October's rallye has been  received.
- Done: Michelle to remind Dean to mail insurance check to Cris.

* Awards:
- AI: Nick to order more Skunk pins.
  - Nick forgot to order our usual Skunk pins, so will provide an alternative pin for October's rallye. 
- AI: Michelle to remind Nick to order Skunk pins. 
- Done: John/Dean need to work with Nick to get October's awards.

* Database Chair (Heather Mellows):
- Done: Heather to enter membership form into the database.
  - Membership was already in database, but updated their last rallye. 
- AI: Darin to print an up-to-date list of members and associates for the
  October rallye's registrar.

* Publicity: 
- Need a new Publicity Chair. 
- AI: Darin to update list of rallyes.

* Webmaster report:
- From Ric's email: 
  - Updates for regional rallyes have been done. 
  - Looking for graphics and flyers for upcoming events. 
- AI: Darin to send email asking if feedback sender wants to be on the
  TRC-Worker list to help with map prechecking and also to invite him to the
  upcoming daytime rallyes.

NEXT EVENT(S) REPORT

* 2016-10-01 Monster University, A Rallye School (John K. and Dean, 11 am start, A-B)
- Registrar: Darin and Michelle
- Neighborhood: Sierra Vista area and Nickerbocker area. 
- Compdir: Abby (Darin as backup). 
- They need pre-checkers (currently have Abby and Ed prechecking).
- First Timers, Beginners, and Novices will receive Critique after each leg; Experts and Master Experts run normal, receiving Critique at finish as usual. Seniors have choice, but if they do not receive Critique after each leg, they run as Expert (can still run Senior next rallye).
- Done; Ric posted: Dean to email flyer to Ric to post. 
- Done: Dean to contact Corvette Club again once flyer is posted. 
  - They don't seem to have a good way of giving us a total number of expected participants ahead of time. They've estimated 15 cars. 
- Additional rallye materials needed:
  - We'll plan for a total of 50 numbered sets and 25 extras. 
    - Darin to print 
  - We also need Nick to provide us with enough materials to prepare 50 par plaques. 
  - AI: Dean to print extra "Welcome to Beginner Class" cards to have for larger than normal First Timer group.

OPEN DATES

- AI: Darin to send follow up email to attendees of his rallyemaster school.
  Ask if someone can do a rallye for an open date.
- AI: Darin to contact past RMs (e.g., Stefaniskos) about writing rallyes.
- Bill is interested in being rallyemaster for a rallye and in being a
  co-rallyemaster with John K., both some time next year.

UNFINISHED BUSINESS

* Score Sheets
- AI: Darin to update mock up with up-ticks farther apart.

* Tax ID
- AI: Darin to submit list of 2016 officers.
  - Officer info not due until 2016-10-28, and cannot be submitted online until
    after it is due.
- AI: Darin to work on getting TRC its 501(c)7 tax ID.

* Definition of "life-time membership"
- AI: Darin to propose updated language based on what's on the Wiki at the
  October meeting.

* Don't Drive Distracted
- AI: Darin to pick an icon and a link target such as distraction.gov and will
  CC TRC's business mailing list.

* Next postcard mailing:
- Mail mid-September.
- Include rallye announcements for October (2 panels) and December.

* Update to scoring program:
- AI: Dean to look into updating the program as time permits. 


NEW BUSINESS

* National Drive Electric Week 2016
- Bill suggested that we consider contacting them about a tie-in event with them next year. 
- They had events at De Anza and in Palo Alto.
- We'll have our new Publicity Chair look into this. 

* Nominations for the Board open tonight
- AI: Michelle to include an announcement in the TRC-Events email to announce
  opening of nominations.
  - Included in September's TRC-Events email. 
  - AI: Michelle to include it again in October's TRC-Events email; looking for a new Board member; you can nominate yourself.
