2012-05-15 TRC Business Meeting Minutes


Called to order at: 7:45pm

Members present: Michelle McGrew, Bill Jonesi, Dean Stanton, Teresa Stefanisko,
  Ed Slintak, Dave Moen, Darin McGrew

Minutes from December meeting: None: lacked quorum, notes were lost

OFFICERS' REPORTS

* President

- Darin will be out of town on June 19 (our next business meeting).
- AI: Darin to document the need to fill state/federal forms on the wiki
- AI: Ping Ric to post results from Mel's rallye and for Toy Rallye

* Treasurer
- Low turnout for May's "Silicon Rallye" rallye, yet no coupons and low
  expenses kept our loss small (<$25).  Monthly net and YTD net are positive
  (better than budgeted).
- Darin used his own card stock (i.e., thick paper) for the CMs he printed.
- Approved: reimburse card stock at $0.06 per sheet, plus $0.045 per side for
  the printing.
- Thanks to Teresa and Nick for delivering awards and flyers to May's rallye,
  even though they didn't attend.


COMMITTEE REPORTS

* Insurance
- June insurance is paid

* Publicity
- AI: Darin to document process for TRC Facebook events
- AI: Ed & Teresa to determine best way to get printed fliers to start
- Discussed promoting rallyes at a game convention over Memorial Day weekend,
  but no one could cover a table with such short notice
- Next mailing will be late August, for September, October, November, and
  possibly December, plus the "be a rallyemaster" promotional flier

* TSD Update
- last weekend's southern CA rallye had about 15 cars; new RM, mostly
  experienced rallyists


PAST EVENT(S) REPORT

* 2012-05-05 Silicon Rallye (Bill, Cris, Abby)
- Low turnout; some CM vandalism; lots of last-minute fixes; otherwise the
  rallye went pretty well
- Coursemarkers not down yet; results not out; scoresheets not delivered
- We should stop buying the poor-quality duct tape currently in the CM kit.
- Darin restocked the protest forms and eval cards
- AI: Darin to check for (and remove) obsolete protest forms in finish box
